Coeur d’Alene Music Conservatory Policy
Revision: February 16, 2026. Under staff review.
By registering for lessons, classes, ensembles, camps, or programs at Coeur d’Alene Music Conservatory (“the Conservatory”), you agree to the following policies.
1. Enrollment, Registration Fee & Billing
- Enrollment is confirmed once registration is submitted and valid payment information is provided.
- A non‑refundable $75 per‑family registration fee is charged once per semester.
- Registration fees are not prorated and are non‑refundable under any circumstances.
- Accounts with outstanding balances may result in suspension of lessons.
Credit Card Authorization
By providing payment information, you authorize the Conservatory to automatically charge tuition, registration fees, late charges, and any outstanding balances to the card on file.
If a payment is declined:
- The family will be notified.
- A late or processing fee may be applied.
- Lessons may be paused until the account is current.
Families are responsible for keeping payment information up to date.
3. Minimum Semester Commitment
Enrollment constitutes a commitment for the full academic semester. Families are financially responsible for the full semester’s tuition regardless of attendance, withdrawal, or schedule changes.
Early withdrawal does not release families from the semester tuition obligation unless approved in writing by administration due to extraordinary circumstances.
4. Lesson Attendance & Make‑Up Policy
Lesson times are reserved exclusively for each student. Tuition secures the weekly time slot, not individual attendance.
Cancellation with 24+ Hours Notice
If a lesson is cancelled at least 24 hours in advance:
- The student is eligible for a make‑up lesson.
- Make‑ups must be completed within the same semester.
- Each student may receive two (2) make‑up lessons per semester.
Last‑Minute Cancellation (Less Than 24 Hours Notice)
- The lesson will be billed in full.
- No make‑up lesson will be provided.
No‑Show
- The lesson will be billed in full.
- No make‑up lesson will be provided.
After Make‑Ups Are Used
If a student cancels with 24+ hours notice after using both make‑ups:
- The lesson will be billed in full.
- No additional make‑ups will be offered.
Teacher Cancellation
If a teacher cancels:
- A make‑up lesson will be scheduled or
- A refund/credit will be issued, based on family preference and availability.
Family Travel
- If a family will be traveling for more than one week and notifies the Conservatory in advance, lessons during that extended travel period will not be charged.
- Short trips (less than one week) follow the standard attendance policy.
- Travel absences do not increase the two‑make‑up limit.
Student Illness
- With 24+ hours notice, illness qualifies for a make‑up (within the two‑per‑semester limit).
- With less than 24 hours notice, the late cancellation policy applies.
- Students who are ill should not attend in person.
Additional Notes
- Make‑up lessons are subject to teacher availability.
- Unused make‑ups do not roll over.
- Semester enrollment includes a minimum semester commitment.
4. Withdrawal
Written notice is required 30 days in advance to withdraw from lessons. Tuition remains due during the notice period. No partial‑month refunds are provided.
5. Weather & Closures
Families will receive closure announcements via Teachworks.
6. Donations (Nonprofit Status)
The Conservatory is a nonprofit organization.
- Tuition, fees, and registration payments are not tax‑deductible.
- Voluntary donations are tax‑deductible to the extent allowed by law.
- Donations are non‑refundable.
- Donor‑designated gifts will be honored whenever possible; however, the Conservatory retains discretion to apply funds where most needed.
7. Media Release
The Conservatory may photograph or record students for promotional purposes. Families wishing to opt out must provide written notice to administration.
8. Liability & Conduct
Families agree to:
- Treat staff respectfully
- Supervise minors when required
- Ensure appropriate behavior in Conservatory spaces
- Assume responsibility for personal property
Participation involves inherent risks. The Conservatory is not liable for injuries except in cases of gross negligence.
9. Agreement
By completing registration, you acknowledge that you have read, understand, and agree to these policies.
